Playdays Etiquette and Procedures

Playdays Booking

The Playday information and booking forms are uploaded on the OASIS website as early after the previous holiday as possible and we try to allow 10-14 days for responses.  The cut-off date is on the website and the booking form and all forms must be received by that date.  Late booking forms will not be considered.

If a playday is not full, the playdays co-ordinators can offer out spaces again after the closing date at their discretion.

Please check that you have renewed your membership before submitting your playdays form. If you have not renewed your membership, you are not eligible for playdays and will be refused spaces on that basis.

Due to an increase in playdays requests, spaces are for children with ASD or related condition and their siblings, plus no more than 2 adults. Extra places can be given at the discretion of the playday coordinators but will be charged at full price.


Places are allocated at random using a random number generator.  If places are over-subscribed we aim to allocate spaces within 7 days of the closing date for bookings. 

Once spaces have been allocated, you will be notified (whether or not you have the spaces you want) and invoiced accordingly by email.


You will be sent a Paypal invoice telling you when the payment needs to be made by (within 10-14 days).  This can be done by Paypal or bank transfer (details on the Paypal invoice). Unfortunately we no longer accept payments on the day of the playday.  Your payment must be made by the date shown on the invoice otherwise you risk losing your spaces on the playday.

Final Details

You will receive an email during the week leading up to each playday with any final information that you will need.  If you have any queries at any time please get in touch by email.


Organising playdays takes a lot of time and effort both with the booking of them and the subsequent administration.  We therefore ask you that should you need to cancel your space, please let us know as soon as possible as we may have a reserve list of people who could take your place.  We do understand that this may be last minute but it still helps us to know if you are not coming even if we don’t have time to refill the space. Any cancellations will get a full refund as long as they are more than a week before the playday.  Should you cancel within the week of the playday, we will be unable to refund you and your places will be offered to another member free of charge.

Please note that families who do not turn up to playdays without letting us know may be refused future playdays places.

Late Arrivals on the Day

Everyone is expected to arrive promptly.  Your host will only wait for a maximum of 30 minutes for you as they want to enjoy the playday with their families.  You will be given your hosts mobile number so you can contact them on the day if required.

Grown Up Etiquette on Playdays

A responsible adult is expected to stay with children throughout all playdays and are responsible for the child/children in their care at all times.

If any conflict arises between children, this must be resolved by the parents. It is not the responsibility of the host or venue to manage challenging behaviour.

If a child is clashing with your child, please speak to the parent of that child to resolve the issue. Often hosts are there with their own children and should not have to mediate!

Whilst we all understand that sometimes our children can be violent, it is our duty to make sure that all children and adults are kept safe. Please be aware that if your child is violent towards other children or adults on playday and the host feels like the groups safety is at risk, then you may be asked to leave.

We do all try to support each other so please be understanding if someone else’s child is displaying challenging behaviour.

As in any environment with children, please make sure that you use appropriate language even if your child is seriously pushing buttons!
